AN ADVANCED BOOKING SYSTEM
Ca’ Savio Camping, a Venetian accommodation facility since 1961, offers the chance to enjoy your holidays in close harmony with the countryside and the sea. Their mission is clear: “Camping Ca’ Savio believes that your holiday is about an idea of freedom and having the time to forget time.”
To align its management philosophy with its goals, Camping has decided to undertake a business innovation process based on scaling up existing services and on granular data collection to carry out Marketing and Building Automation ventures.
The digital transformation of the Camping, expertly developed by Interlogica, enhanced and optimized the Tech aspects related to the booking process and back-office management activities.
Due to the enlargement of the accommodation and of the campground, the management considered adapting the old management system, which was based on traditional technology. This was so complex and outdated that made the configuration and management of reservations a cumbersome process. It was no longer able to support automation reporting processes used for market evaluations and had features not suited to new business needs.
It has been decided to opt for an Agile approach, which enables to develop features with an iterative process, breaking the project down into more manageable pieces, speeding up the time to market.
Thanks to the use of Agile, the software evolved depending on the company’s specific needs regularly updating and adding useful features for staff members, that could carry out the job more efficiently, increasing both Customer Satisfaction and Customer Retention.

OFFLOAD COMPLEXITY
The old and outdated management system had made the work of back-office employees long and difficult, increasing customer waiting times. The new management system, ensures fast configuration of workflows through a stepper system, supporting the back-office independence and guaranteeing booking, rebooking, or additions of services, with very little coaching.
The management has been conceived as a single portal that can handle the entire booking process, from pre-bookings (bookings made before the booking season), from pre-bookings (bookings made before the booking season) to additional services or monitoring the “allotments” (the areas of the campsite supplied to Italian and foreign tourist agencies). The new portal makes it easier to manage both incoming and outgoing customers, accelerating check-ins and checkouts. There is a form that simplifies quotation management and camping bundles, to encourage clients to stay over longer periods of time.
ACCOUNTING? NO PROBLEM!
Developing the incremental sprint software, we have come to a complex but agile system, tailored to specific requirements. Some features have been integrated extending into accounting and billing automation.
Through an API system created ad hoc, the software communicates both with receivers and fiscal printers and with normal printers as well, automating not only accounting entries and receipt printing but also customer pass deliveries at check-in.
Some features of the accounting management system also include the creation of receipts and a form for closing the cash register.
MANAGING BOOKINGS HAS NEVER BEEN SO EASY
Problem: how to manage the complexity of multiple accommodation facilities and at the same time coordinate bookings that come from many and diverse sources, such as travel agencies or tourist offices.
To address this issue, it has been decided to digitize the board tool – a widely used tool in the field of Agile – to make the booking system visually appealing, intuitive, interactive, and easy to edit.
In the system, columns and rows display accommodations and dates. Each booking is designed as a sort of post-it note that can be moved, enlarged or modified in such a way that the elements fit together like a puzzle with no overlaps and no gaps.
The Mastro Board is connected to all external management systems so that it can be automatically updated with third-party bookings. Agencies use their own local booking system, but with this new system, to finalize the reservation Ca’ Savio’s Mastro management is called up to confirm in real-time the actual availability of the accommodation. Similarly, bookings made by customers from the Camping website are sorted out by Mastro real-time addressed and compared, to verify the actual availability. To make it easier to manage all reservations, a color has been assigned to each status. For instance, if the guest settles the stay in advance, the corresponding post-it is immediately updated with the reference color.
Having the status of accommodation availability displayed in one place and in real-time is a huge advantage. It also makes the agencies’ service faster and more efficient as they benefit from a synchronous check.
